Every visitor on the evacuation roll, for exactly as long as they are in the building.

Visitors and contractors sign in by QR, at reception or from a host's invite, and appear on the floor's roll in the warden's hand. When they sign out, they leave it. Included in the Emredi Suite.

Three ways in, one roll

However a visitor arrives, the record is the same: who they are, who they are here to see, which floor, and when they are expected to leave.

1

At the entrance

A poster by the door. The visitor scans it, signs up on their own phone, and waits for approval, or walks straight in where the site allows it. Nothing to install.

2

At reception

A tablet shows a code that changes every few seconds. Scan it and the sign-in page opens on the visitor's phone, so a photo of the screen is useless a moment later. Reception can also type a visitor in, and a regular is recognised by their mobile.

3

By invitation

Anyone with portal access invites a visitor by email. The visitor fills in their details ahead of time. On the day they tap "I'm here" on the same phone, or reception signs them in.

An invite never puts anyone on the roll. Signing in does.

On the roll

Where it matters: in the warden's hand

A visitor is a person on a floor, not a line in a logbook. The floor warden sees them beside the staff they are responsible for.

  • On the visit's floorThe visitor appears on the floor they signed in to, with the host's name and number. One tap calls the host.
  • Help to evacuate, asked at sign-inEvery visitor is asked whether they would need help to get out. A yes is flagged to the floor warden before anything happens, and seen only by wardens on duty and site administrators.
  • Counted as visitorsVisitors never inflate the occupant count. Wardens see staff, visitors and contractors as what they are.
  • Off the roll the moment they sign outNobody goes looking for a visitor who left an hour ago.

If the alarm sounds

A visitor hears from the warden team, not the fire panel

Nobody expects a visitor to have installed anything. They get a text from the warden team with a link to their own live message thread.

  • A text with a linkEvery visitor and contractor without the app gets the warden team's first message by text, with a link that opens their own thread in the browser. No install, no account, no password.
  • Safe, help, or already leftOn the page they say they are safe, ask for help, or say they had already left the building. Until they answer, a warden treats them as unaccounted for.
  • A conversation until the all-clearWardens can message them and they can answer, the whole time. The page closes itself when the event is over.
  • Ask the hostA warden can ask the visitor's host from inside the event: has your visitor left, or are they with you? The host's answer sets the visitor's status, marked as the host's word.

Signing out

Overdue stays on the roll, on purpose

Most visitors forget to sign out. Emredi never guesses they have gone, and never texts them to ask.

  • Sign out, or stay longerOn their own visit page or at reception. Running late? "Still here, extend" moves the expected end.
  • Overdue is flagged, never droppedPast their expected time, a visitor who has not signed out stays on the roll and shows as overdue. During a real emergency, a warden would rather check an empty meeting room than skip someone still on Level 9.
  • The host is asked, not the visitorThirty minutes after the expected end, the host gets a departure check in their Emredi app, or by email: has your visitor left, or still here until when?
  • The day endsEvery open visit closes at the end of the site's day, and the record says the departure time is unknown rather than inventing one.

Reception's day

Expected, on site, overdue

Reception sees the day as three lists and acts from them. The host hears the moment their visitor arrives.

  • Approvals in one clickA visitor who signed up at the entrance typed their host's name. Reception sees the match Emredi found and approves, edits, or declines with a reason. There is never a staff list on a public page.
  • The host knows they are hereAn arrival alert to the host's Emredi app, or their inbox when they don't have it, however the visitor arrived.
  • Conditions of entry, acknowledged and keptYour conditions and the site's evacuation diagram, as one versioned set. The visitor ticks them at sign-up, or reception confirms they were shown, and the record keeps the exact version they saw. "Visitors must be accompanied" and arrival instructions where the site sets them.
  • Confirmed by textA visitor confirms their mobile by sending one text to Emredi, so the emergency message reaches a number that is really theirs. A visitor who doesn't is still on the roll, marked "mobile not confirmed" for the wardens.
  • Every visit is its own recordThree visits in a day are three records, each with its times, host, approver and extensions. The record can answer who was on site at any moment.

Common questions

Do visitors need the app?

No. A visitor signs in on their own phone from a poster or the reception tablet, or reception signs them in. If the alarm sounds they get a text with a link to their own message thread, in the browser. Nothing to install.

What if a visitor has no mobile?

They are still signed in and still on the roll. Reception records the reason, and in an emergency the wardens reach them through their host and account for them in person.

Can my receptionist sign in a regular in two taps?

Yes. A returning visitor is recognised by their mobile, so reception confirms who they are seeing and the expected end, and they are on the roll.

Can a host invite someone ahead of the day?

Yes, by email, from anyone with portal access for the site. The visitor completes their details beforehand. The invite never puts them on the roll; signing in on the day does.

What happens to a visitor's details afterwards?

The visit is kept as a record for the site's retention period, 24 months unless the site sets its own. Visits during a real emergency are kept as evidence. Our Trust page lists everything we hold.

Does a visitor get our evacuation diagram?

Yes. The site's conditions of entry and its evacuation diagram are shown together at sign-up, and the visitor can open them again from their visit page until they sign out.
